No Queue at the Door: How Many Check-In Desks and Staff Does Your Event Need?

Short answer: the number of check-in desks comes from peak arrivals, not from the size of the guest list. The formula fits in one line. Divide the number of people arriving in the busiest hour by the number one desk processes in an hour. Bizzabo's onsite staffing guide works off a baseline of about 30 seconds per manual check-in, which puts one desk at roughly 120 people an hour, so a conference where 600 people arrive between 8:00 and 9:00 needs five active desks plus cover for exceptions. Scanning a QR code and printing badges on demand cuts the time per guest, and with it the desk count. How many check-in desks? The guest list is the wrong input

What sets the desk count is not total headcount, it is how many people come through the door in the busiest hour. The formula in Bizzabo's onsite staffing guide reads as one line: peak arrivals per hour divided by attendees processed per staff member per hour gives the minimum number of stations. The guide's working assumption is about 30 seconds per manual check-in, so roughly 120 people per hour per person on the desk. For 600 arrivals between 8:00 and 9:00 that comes to 600 divided by 120, five active stations, with extra cover on top for VIPs, walk-up registration and problem records. The same guide puts a 500 person conference at three to four stations, one greeter managing flow and one support lead who can move between roles. Now run the same maths for a 300 person dealer meeting. If the programme starts at 10:00 and most guests turn up between 9:30 and 10:00, that half hour runs at an effective rate of 600 per hour, and you are back to five desks. A 300 guest event can need exactly the check-in capacity of a 600 guest conference. The difference is not the headcount. It is the pile-up at the door.

Everyone arrives at once: plan for the peak half hour

Guests do not spread themselves evenly across the invitation window. Shuttle buses unload in groups, the car park entrance backs up, rain pushes everyone to the door in the same minute, and a final wave lands ten minutes before the programme starts. If you have arrival timestamps from previous events, use them; every check-in system records them. Without data, work from a safe assumption: half the guest list arrives in the first 30 minutes, and the desk count follows from that. Three practical ways to flatten the curve. Stagger invitation times, giving press and speakers a slot 30 minutes earlier. Reward early arrival with a coffee and welcome area that opens before the programme, which is the cheapest way to spread a queue across time. Open a separate exceptions desk for walk-ups and anyone whose record cannot be found, because one problem registration blocks a normal lane for five minutes. If the venue has a second entrance, route speakers and VIPs through it.

How fast is each check-in method?

Method drives the time per guest, and the spread between slowest and fastest runs to three times. Searching a printed alphabetical list is the slowest of them: on a long list it approaches a minute per person, longer when three guests share a surname. A staff member searching on a tablet cuts that sharply. Scanning the QR code from the invitation reduces the whole transaction to a single action. Bizzabo's guide puts the gain from mobile check-in and on-demand badge printing at 30 to 50 percent off the average check-in time, which translates directly into fewer desks for the same guest list. Self-service kiosks are the quickest option on paper, with one condition: someone has to stand beside them. A single guest working out what to do in front of a kiosk erases the speed the kiosk was bought for. Pre-printed badges laid out on tables split by surname still work and need no internet, though no-show badges sit there all evening and late changes have to be handled by hand. For most corporate events a mixed setup wins: a QR lane for registered guests and a staffed exceptions desk for everyone else.

QR codes and badges: half the speed sits in the details

QR codes are defined by ISO/IEC 18004, and the current version is the fourth edition published in 2024. The standard sets four error correction levels: L at 7 percent, M at 15, Q at 25 and H at 30. Built on Reed-Solomon coding, they let a reader recover the data when part of the symbol is dirty or damaged. Raise the level and the symbol gets denser, so the same payload has to be printed larger. For an event invitation, level M and a code of at least two centimetres works with almost any reader. If guests will scan from a phone, remind them of two things: turn the screen brightness up, and save the code as an image. Weak mobile data at the venue entrance means a guest who cannot open the email that holds the code. Printing is rarely the bottleneck people assume it is. Zebra lists its ZD421 desktop label printer at 102 and 152 mm per second with 203 and 300 dpi resolution, which puts the print motion for a 10 centimetre badge under a second. The time goes into finding and verifying the person instead. Even so, keep a spare printer for every two desks, enough media, and a second laptop with the driver already installed.

Laying out the check-in area: where does the queue fold?

Where you put the desks matters as much as how many you have. A desk right inside the door pushes the queue out onto the pavement. Apply the figure from Cvent's Social Tables guide of roughly 0.55 square metres per standing person to the queue itself: 60 people waiting at once need about 35 square metres of clear foyer. One queue feeding whichever desk frees up first is fairer and faster than a separate queue per desk, which is why airports and banks are built that way. Fold the line with retractable barriers and mark the direction of travel with floor signs or carpet tape. Leave a step-aside area past the desks where guests can put their badge on, otherwise someone fumbling with a lanyard holds up the lane. Keep the cloakroom separate from check-in and, where the layout allows, after it. Have one section of the desk built lower for guests using a wheelchair. On a wet day, the puddle that forms at the entrance is reason enough on its own to set the desks a few metres inside the door.

How many guests actually show up?

The registration list and the number of people in the room are never the same, and the gap drives catering, seating and badge printing as much as it drives the door. Registration momentum has been under pressure across the industry: in the end of year trends recap Freeman shared in January 2026, half of all events were behind their normal registration pace during 2025, while the industry's blended attendee retention rate sat only a little above 30 percent. Rather than guessing your own turnout rate, measure it. Every event leaves you two numbers: how many registered, and how many walked in. After three events you hold a ratio specific to your organisation, and the budget can be built on it. The familiar reminder sequence helps too: a nudge two days out, travel and parking details the day before, a programme summary on the morning itself. Free corporate invitations see markedly higher no-show rates than paid events, for the simple reason that not turning up costs nothing. Factor that in if you are printing badges in advance. With on-demand printing the waste never appears in the first place.

Registration data: what Türkiye's rules require

Taking event registrations is personal data processing. Article 10 of Law No. 6698 requires the data subject to be informed at the point the data is collected, which means the privacy notice belongs on the registration form itself, at the moment of sign-up. Four practical points. Sharing the attendee list with a sponsor or a partner is a transfer and needs its own legal basis or explicit consent; one tick box on the form does not cover everything. If photography and filming will happen, say so on the invitation and put a visible notice in the registration area. Print name, surname and company on the badge and nothing more: national ID numbers, phone numbers and email addresses do not belong on something that hangs in plain sight all day. Put a reference number inside the QR code rather than personal data, and let the system do the matching. If you plan to email attendees afterwards for marketing, Law No. 6563 applies: commercial electronic messages need prior consent and a record in the national message management system, and registering for an event does not by itself create that consent. Write down how long the attendee list will be kept in your retention and destruction policy.

Event day: rehearsal, backup plan and what to ask for in a quote

Check-in deserves a rehearsal as much as sound and lighting do. Test the system against a copy of the real list and run five scenarios: a registered guest, an unregistered one, a misspelled name, someone attending in a colleague's place, and a last minute cancellation. Brief the team 30 minutes before doors open, so everyone knows which desk they are on and where problem records go. Carry a mobile data backup and ask in advance whether the software works offline; venue Wi-Fi is the first thing to slow down once guests start connecting to it as well. Ask for a dedicated power circuit at the desks and a small UPS. Keep the paper backup list in a locked folder and destroy it at the end of the night if it goes unused.
