LED Screen Rental: Indoor and Outdoor LED Hire
Two things decide the right call in LED screen rental: how close the audience will be to the screen, and whether it goes indoors or outdoors. Those two set the pixel pitch, the brightness needed and therefore the cost. How to choose pixel pitch
Pixel pitch is the distance in millimetres between the centres of two LEDs; P2.6 means 2.6 mm. The smaller the value, the higher the resolution and the sharper the image up close, and the higher the cost. A widely used rule of thumb: the pixel pitch in millimetres roughly gives the lower bound of comfortable viewing distance in metres. So a P2.6 screen looks clean from about 2.5 to 3 metres onward, while a P3.9 screen wants the viewer a little further back. A gala where guests sit close to the stage and an outdoor event where the audience stands well back therefore call for different screens.
Indoor versus outdoor: brightness
Outdoor screens produce markedly higher brightness so they remain readable in daylight, and come in cabinets protected against water and dust. Using an outdoor screen in an indoor ballroom is needless cost; the reverse gives you a screen nobody can read. For daytime outdoor openings, the screen's orientation and the position of the sun also enter the plan: even the brightest screen struggles on a surface in direct sun, so we fix placement during the survey.
Screen size and cabinet maths
Rental LED screens are not single panels; they are built from standard 500x500 mm cabinets tiled side by side and stacked. Size is therefore discussed in cabinet counts: a 6 by 3 metre screen is 12 by 6 cabinets, or 72 cabinets, at 500 mm. Cabinet count drives resolution, transport weight and installation time alike. Planning stage design together with screen size prevents gaps or awkward proportions at the edges.
Processing, content and redundancy
What you send to the screen matters as much as the screen itself. A video processor and media server keep presentations and video running at the right resolution without interruption, and source changes in a live programme are handled through a video switcher. For critical programmes we recommend a redundant setup: a second source and a backup processor stop a single device failure from halting the stage. Testing content on the actual screen beforehand is a standard step; the aspect ratio and colour you see on the screen can differ from your laptop.
Power, weight and rigging
An LED screen draws serious power and carries serious weight. A venue's existing electrical infrastructure can fall short for large screens, which is where a generator and power distribution come in. For flown installations, the load capacity of the ceiling or truss system is calculated; where that is not available, ground-stacked installation is used. The venue's rigging permission and technical restrictions are among the items to settle early.
What determines LED screen rental pricing
The items that build the quote: screen area and cabinet count, pixel pitch, indoor or outdoor, installation type (flown or ground-stacked), processing and redundancy requirements, rental duration, transport and the venue's load-in conditions, and operator and content testing. The same area is priced markedly differently at two pixel pitches, so specifying higher resolution than the room needs simply adds cost.
